The Service and Repair Coordinator reports to the Production Manager and is responsible for repairing and servicing customer returned products; final testing new products and coordinating the activities within the service and repair production cell.

Duties and Responsibilities

  • Coordinating activities within the service and repair production cell
  • Track work through the production cell. Prioritise and assign tasks to Service and Repair Technicians so that the work is completed in a timely manner. Keep tracking information and systems up to date
  • Escalate problems early to the Production Manager
  • Advise commercial on the status of customer products in the service and repair production cell and attend weekly meetings (plasma review)
  • Calculate the monthly metrics for the service and repair cell

Inbound tests, customer property and tracking

  • Receive, check and book-in customer equipment. Document all customer property clearly according to work instructions (customer property receipt process)
  • Perform an inbound test of all returned customer products. Inform commercial if any repairs are required
  • Throughout the work, keep systems (123Insight, plasma, documentation) up to date with their status
  • Fault finding and repairs
  • Find faults with customer equipment, plan to fix the equipment
  • Give information to commercial so that quotations for repair can be sent to the customer
  • Document repairs in enough detail for customers to understand what work has been done to repair their equipment
  • Overnight soak testing
  • Maintain and update product records associated with product assembly and repair
  • Use turnbacks to capture product and process problems

Calibration and compliance with ISO17025

  • Calibrate all completed products in accordance with relevant work instructions
  • Subject to appropriate authorisation, carry out calibrations and issue calibration certificates
  • Perform calibrations according to processes defined in the appropriate work instructions
  • Have basic working knowledge of ISO17025 and how its requirements relate to the calibration activity
  • Draw management attention to actual or potential non-conformities and highlight opportunities to improve processes
  • Escalate calibration issues as required to the Production Manager
  • Where calibrated equipment is used, to ensure that it is re-calibrated within required time limits.  To make electronic copies of the calibration certificates for the quality manager and to file the original certificates as directed
  • Ensure laboratory compliance with the requirements of ISO17025

Demonstration equipment

  • Receive, check and book-in rental/demo equipment. Verify whether the returned equipment works (or doesn't work) and that all items have been returned
  • Highlight any issues with demo equipment to commercial
  • Retest rental/demo equipment ready for re-shipment and ensure that the latest firmware and feature codes are installed

Product finalising

  • Apply feature codes and firmware as required
  • Perform a complete functionality test of all products
  • Check that kits of products are complete and operating correctly before they are shipped
  • Update SOM (sales order monitor) software with up to date status of products

Health and Safety

  • When using hazardous materials, to ensure that a risk assessment has been carried out and to observe any precautions demanded or recommended by it.  When using materials and equipment which is not specifically labelled as hazardous, to handle them with care and be aware of any potential dangers they may present
  • To keep the workplace in such clean and tidy condition as is commensurate with its function, to promote efficient and safe conduct of the company’s business

Compliance and company processes

  • Follow company processes, policies and work instructions
  • Take all reasonable steps to ensure own compliance with relevant statutes, regulations and company policies
  • Contribute to documentation and procedures to suggest where they are lacking and could be improved
